Handle Recurring Transactions in QuickBooks Online

While recurring transactions are a useful QBO feature, when it comes to building a program integration, QuickBooks doesn’t allow us to manage recurring transactions or add delayed charges or the like. So what are your options if you have customers with recurring transactions?

Option One: You may decide that, with Skimmer’s invoicing integration, you actually don’t need recurring transactions anymore because Skimmer can help you bill for everything. This means you could delete the recurring transactions you’ve set up in QBO and you no longer need to create delayed charges.

Option Two: Keep using QBO as you have before, with recurring transactions and delayed charges. If so, we have reports in Skimmer (Installed Items, Chemical Dosages, etc.) which make it easy to know what to bill for. So you could use them to create the delayed charges. If you want to use this method, and you don’t want Skimmer to generate an invoice for pool service, dosages, or installed items, you can add that customer to the Do Not Invoice list.

Option Three: What if you want to use the recurring transaction only for pool service, but you want Skimmer to help with things like installed parts and chemical dosages? We’re not able to add those as delayed charges because QBO doesn’t allow us to do that.

However, you can go to the Pool Service page, find the customer you’d like to bill this way, and change their “QBO Service for Pool Service” setting to Exclude. This will exclude only the pool service line item, but everything else will still be there. Note that these will not be added as delayed charges that will get picked up on the next invoice based on the recurring transaction. Instead, this will be a separate invoice. So the customer will get two invoices in this case.
